Privacy Policy

WhooshPro Pte Ltd ("we", "us", "our") is committed to protecting personal data. This Privacy Policy explains how we collect, use, disclose and safeguard information when you use Breezy AI Search (the "Service"), including the customer portal, the search widget that customers add to their websites, and the Breezy AI Search WordPress plugin.
1. Data We Collect
Information you provide
- Name, email address and contact details when you register.
- The website address you ask us to index.
- Billing information, processed securely by our payment provider, Stripe. We do not store card numbers.
- Content and settings you enter into the Service, such as AI instructions and curated answers.
- Communications you send to us, such as feedback and support emails.
Information collected automatically when you use the portal
- Log data (IP address, browser type, pages visited, timestamps).
- Device information (operating system, browser version).
- Usage data (features used, session duration).
- Browser storage needed to keep you signed in and remember your preferences.
Your website's content
To build your search index, our crawler reads the publicly available pages (and, where enabled, PDF documents) of the website you register. We only read what anyone on the internet can see; we do not access password-protected areas.
Information from visitors to websites that use Breezy AI Search
When a visitor uses the search widget on a customer's website, the visitor's browser sends us:
- The question they type.
- The address of the page they searched from and the page that referred them, limited to the domain and path (the widget removes query strings and fragments).
- A random visitor ID that the widget keeps in the browser's local storage, used only to count unique visitors in the website owner's statistics. It does not identify the person and is not used across other websites.
- Their IP address and browser information, as part of any web request.
The widget also keeps small layout preferences in local storage (for example, where a visitor moved the search button). The search widget does not set cookies.
Information from the WordPress plugin
- When a site owner connects the plugin, the WordPress site's address is sent to the Breezy AI Search portal to set up or match their account.
- To confirm the owner controls the site, the plugin adds an invisible verification tag to the site's homepage, and the site's server asks us to check it, sending the site key and site ID. The tag is removed when the plugin is disconnected or uninstalled.
- The plugin does not send WordPress user accounts, passwords, posts or other site data to us.
Information from third parties
- Payment and subscription status from our payment processor, Stripe.
2. How We Use Data
- To provide, operate and improve the Service, including indexing websites and answering visitors' searches.
- To show website owners statistics about what their visitors search for.
- To process payments and manage subscriptions.
- To send transactional emails (receipts, password resets, service notices).
- To send marketing communications, with your consent where required.
- To respond to feedback and support requests.
- To detect and prevent fraud, abuse and security incidents.
- To comply with legal obligations.
3. AI Processing
Breezy AI Search uses AI models from a third-party AI provider to understand questions and write answers. To answer a search, the visitor's question and relevant passages from the website's indexed pages are sent to the model. We only use AI providers that do not use this data to train their models. AI-generated answers can occasionally be inaccurate; each answer links to the pages it is based on.
4. Website Owners and Their Visitors
When a customer adds Breezy AI Search to their website, the customer is responsible for the personal data of their own visitors, and we process visitors' searches on the customer's behalf to provide the Service. Customers should tell their visitors, for example in their own privacy notice, that site search is provided by Breezy AI Search. Visitors who have questions about their data should contact the website owner first. Where a request concerns data processed through Breezy AI Search, such as searches made with the widget, we will help the website owner respond.
5. Sharing and Service Providers
We do not sell personal data. We share it only with service providers that help us run the Service, under contracts that protect it:
- Cloud hosting provider: hosting, databases and search infrastructure.
- AI provider: AI processing of questions and answers.
- Stripe: payment processing.
- Email provider: sending transactional emails.
We may also disclose information when required by law, or to protect the rights, safety and security of our users and the Service.
6. Where Data Is Stored
The Service is hosted in Singapore. AI processing takes place in Australia. Where data is processed outside Singapore, we rely on our providers' contractual and technical safeguards to protect it to a standard comparable to Singapore's Personal Data Protection Act.
7. Data Retention
- Account data is kept for as long as your account is active or as needed to provide the Service. After account termination, we keep it for thirty (30) days, after which it may be permanently deleted.
- Visitors' search statistics are kept for the analytics retention period of the website owner's plan (between 30 and 365 days, depending on the plan), then deleted.
- Website content in the search index is removed when the website owner removes the page or the site, or deletes their account.
8. Data Security
We implement appropriate technical and organisational measures to protect data, including encryption in transit (TLS) and at rest, access controls and regular security reviews. No method of transmission or storage is 100% secure, and we cannot guarantee absolute security.
9. Your Rights and How to Contact Us
You may ask to access or correct the personal data we hold about you, ask us to delete it, or withdraw consent to marketing at any time. You can update most account details yourself in the portal. For any other request, or a question about this Policy, contact our Data Protection Officer at breezy+dpo@whooshpro.com. We aim to respond within 30 days.
10. Changes to This Policy
We may update this Policy from time to time. Any changes will be posted on this page and within the Service. Your continued use of the Service after the updated Policy is posted constitutes your acceptance of the revised Policy.
